What they need, and what they are only collecting out of habit
Letting agents typically ask for three to six recent payslips to verify income and run an affordability check. The usual benchmark is annual income around 30 times the monthly rent. That test needs gross pay, net pay and your employer. It does not need your National Insurance number.
The ICO’s data minimisation principle, Article 5(1)(c) of the UK GDPR, requires that personal data be “adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed”. The ICO adds that holding more than you need “is likely to be unlawful”.
Your National Insurance number is a lifelong identifier used across HMRC, pensions and benefits. It is exactly the kind of field that has no rational link to whether you can pay the rent, which is the ICO’s own test for relevance.
Many UK payslips also print the bank account your salary is paid into. That is worth covering for the same reason you would not send an agent a voided cheque.

What should I redact on a payslip for a letting agent?
Cover your National Insurance number, the bank account number and sort code your pay goes into, your employee or payroll number, your home address and any pension member number. Leave your name, employer, pay period, gross pay, net pay and year to date figures visible, because those are what an affordability check actually reads.
Why is the National Insurance number worth hiding?
It is a permanent identifier used across HMRC, pensions and benefits, and it cannot be changed if it leaks. The ICO's data minimisation principle requires collected data to have a rational link to the stated purpose. Whether you can afford the rent has no rational link to your NI number, so an agent holding it is collecting more than they need.
How many payslips will they ask for?
Typically three to six recent ones for employed applicants. Self-employed applicants are often asked for a longer period and may be asked for bank statements, trading records or tax returns instead. Redact each one before uploading rather than only the first.
Is a payslip better than a bank statement?
For privacy, usually yes. A payslip shows income without listing how you spend it, so there is far less to cover. If an agent asks for statements primarily to verify income, offering payslips first is a reasonable and common substitution.
Can they refuse a redacted payslip?
They can ask for more, and some referencing agencies do push back on redacted documents. If that happens, ask which specific field they need and for what purpose. A controller under UK GDPR should be able to answer that. In practice you may also be able to satisfy them with an employer reference letter confirming salary, which contains no identifiers at all.
