What UK GDPR actually requires of them

The ICO’s data minimisation principle is Article 5(1)(c) of the UK GDPR. Personal data must be “adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed”.

The ICO spells out the test: data must be adequate, meaning sufficient for the stated purpose, relevant, meaning it has a rational link to that purpose, and limited to what is necessary, meaning “you do not hold more than you need for that purpose”. It adds that holding more than is necessary “is likely to be unlawful” as well as a breach of the principle.

A letting agent or referencing firm processing your application has a clear stated purpose: establishing that you can afford the rent. Salary credits and a closing balance serve that purpose. A line-by-line record of your spending does not, and the ICO is explicit that irrelevant detail should not be collected.

Letting agents are usually data controllers, often joint controllers with the landlord, for applicant data. That means the obligation to minimise sits with them, not with you. Asking them what they actually need is a fair question, and offering a redacted statement is a reasonable answer to it.

Can I redact a bank statement for a letting agent?

You can redact the document you choose to provide, and UK GDPR supports the principle behind it. The ICO's data minimisation rule says personal data must be adequate, relevant and limited to what is necessary for the stated purpose, and that holding more than necessary is likely to be unlawful. An affordability check needs your income and balance, not an itemised record of your spending. Be aware that some referencing agencies push back and insist on unredacted statements, so it is worth asking up front what they require and why.

A referencing agency refused my redacted statement. What now?

This does happen. Options in rough order of ease: offer payslips instead, which show income without a spending history; ask your bank for a certificate of balance or an account confirmation letter, which shows the figure with no transactions at all; ask the agency in writing which specific field they need and for what purpose, since a controller should be able to answer that; or ask whether an Open Banking affordability check is acceptable, as several UK referencing providers now offer one. Escalating to the agency's data protection contact is a legitimate step, though in a competitive market you will have to weigh that against losing the property.

What should I never redact?

Right to Rent documents. If a landlord or agent is carrying out a Right to Rent check, the Home Office code of practice requires them to make a clear copy of each document in a format that cannot later be altered. A redacted passport or biometric residence permit does not satisfy that, and providing one could cost you the tenancy. Redact affordability documents, never the statutory identity check.

Why do letting agents want six months of statements?

Usually to assess affordability and, for self-employed applicants, to verify income over a longer period. The common rule of thumb is that annual income should be around 30 times the monthly rent. None of that requires the merchant names on your debit transactions, which is precisely the part worth covering.

Is a bank certificate of balance better than a statement?

Often, yes. Many UK banks will issue a balance confirmation showing an account balance with no transaction list, which means there is almost nothing to redact. If the agent is testing whether you have savings rather than reviewing your conduct, offer that first.

Does RedactID see my bank statement?

No. The redaction runs inside your browser on your own device. The file is never uploaded, never stored, and never reaches our servers. Given that the risk here is extra copies of your financial life on other organisations' systems, a tool that required an upload would be self-defeating.
